OPERATIONS COORDINATOR, SZARVAS
 
Job Title:                          Operations Coordinator, Szarvas
Responsible to:              Szarvas Director
Location:                          Office, based in JDC offices, Sip utca 12, Budapest
 
Overall Purpose:
To provide overall assistance, especially in terms of logistics, for the Szarvas Camp project, which has a regional purview and provides a unique Jewish camping experience for Jews across the globe, and particularly from Central and Eastern Europe. As the Coordinator, the job is to plan, coordinate and document all programs falling under the Szarvas umbrella.
 
Key Responsibilities:
  • Coordinating (logistics, event management, etc.) most Szarvas related activities within JDC, especially the Youth Camps.
  • Supporting the effective implementation of the Szarvas camp, in accordance with the strategy, values and guidelines of JDC.
  • Implementing necessary processes and policies related to Szarvas.
  • Coordinating with the Szarvas educational teams and collaborating closely with the permanent Szarvas-based staff.
  • Coordinating partnerships of different Szarvas related vendors and service providers.
  • Assisting in Szarvas branding efforts.
  • Coordinate and oversee the Szarvas merchandise shop operations.
  • Working closely with Szarvas related countries/communities on logistical matters, including travel.
  • Supporting the development of new ideas and directions to advance JDC's mission through Szarvas.
  • Support JDC Hungary Foundation Office Manager in Szarvas related tasks and projects.
 
Key Tasks:
  • General bookkeeping and administration tasks, especially related to InCamp, visitation day & duty lists.
  • Preparing accounts data for each of the participating countries; gathering all expenses, numbers and information needed.
  • Coordinating missions and other visits, including pre-visit preparation, on the spot coordination with the local team (reception, security, kitchen etc), and working with the Missions Coordinator to organize programs and schedules.
  • Ordering supplies for Szarvas events (training, seminars, camps, etc.).
  • Managing inventory and ordering merchandise for the Szarvas shop in coordination with relevant partners.
  • Supervising the warehouse operation during the Youth Camp.
  • Being present on key Szarvas related events.
  • Creating the annual Szarvas logistical schedule, and ensuring operations take place on time.
  • Dealing with invitation letters to participating countries needing these.
  • Registering invoices into the accounts system & preparing the certificate of completion when needed.
  • Close cooperation with other JDC Hungary teams, including operations, finance, etc.
  • Attending all JDC Hungary full team meetings.
  • Other tasks as required by Director of Szarvas Camp, JDC Hungary Director and/or the management of the JDC Europe Regional team.

Requirements

  • Experience in travel, operations, or procurement, including work with contracts, agreements, vendors, and RFPs; ability to source, build, and maintain partnerships; and a strong understanding of budgets, financial charts, and close cooperation with finance.
  • Native Hungarian and conversational or fluent English.
  • Proficiency in Microsoft Office, especially Excel.
  • Strong communication skills and comfort in reaching out to vendors directly.
  • Availability for regular visits to the camp during the summer season.
