WE ARE LOOKING FOR AN EXECUTIVE ASSISTANT TO THE MANAGING DIRECTOR
Executive Assistant to Managing Director
Feladatok:
AGENDA MANAGEMENT • Board Agenda Management: In conjunction with the MD, manage the management board’s agenda, document and follow up on tasks and commitments.
• Meeting Coordination: Arrange meetings, and ensure all necessary materials are available. This also includes coordinating with other departments or external partners.
• Calendar Management: Coordinate schedules and ensure awareness of upcoming commitments. Handle any conflicts or scheduling issues that arise.
EVENT AND PROJECT MANAGEMENT • Event planning: Plan and organize big and small events from pure business to team events and summer parties.
• Project Management: Assist with or manage specific projects as directed.
• Continuous Improvement: Apply best practices, provide input for modifications and improvements in administrative support processes and systems to increase effectiveness and efficiency.
ADMINISTRATIVE TASKS • Travel Arrangements: Plan and organize business travel, including flights, accommodations, and itinerary. Handle any changes or issues that arise during travel.
• Internal guests: Support travel planning of DHL guests from abroad.
COMMUNICATION • Correspondence: Support MD as a point of contact between other departments or external contacts
• Confidentiality: Handle sensitive information with discretion.
Elvárások:
• University / College degree
• At least 2 years experience in similar role
• High level of communication in English (oral and written)
• Hungarian language is a must
• Computer literacy (Word, Excel, PowerPoint,Outlook)
• STRONG TIME MANAGEMENT, communication and presentation skills
• SOLUTION-ORIENTED MINDSET and ability to handle multiple tasks parallel, ability to drive projects
• Excellent troubleshooting and analytical skills
• Firm, stress tolerant, precise personality
