Feladatok

  • Act as the CEO’s primary point of contact for the Budapest office and other departments, ensuring information flows smoothly in both directions.​
  • Ensure that company strategy and CEO decisions are clearly communicated, translated into concrete tasks, and followed up until completion.​
  • Bring order and structure to the office: clarify roles and responsibilities, monitor deadlines, and help colleagues understand expectations.​
  • Monitor open issues and problems in operations and administration, coordinate solutions with the relevant managers, and keep the CEO informed with concise updates.​
  • Oversee basic administrative and financial processes (invoicing, payments, incoming revenues) together with accounting/finance, helping to prevent errors, delays or missing funds.​
  • Support performance monitoring: prepare simple overviews and analyses of key KPIs (occupancy, revenue, costs, hours worked, complaints, etc.) for the CEO.​
  • Coordinate with cleaning, operations, recruitment and Dubai‑related teams to ensure alignment with the company’s growth plans in Hungary and the UAE.​
  • Manage the CEO’s calendar, schedule meetings, organize internal and external appointments, and ensure he is well prepared for each.​
  • Filter and prioritize emails, messages and phone calls; handle those that can be solved independently and escalate only the important ones.​
  • Organize business travel (mainly Budapest–Dubai), itineraries and related logistics, and occasionally accompany the CEO for key meetings (1–2 weeks per year).​
  • Provide general executive assistant support including preparation of documents, presentations, meeting agendas and minutes, and follow‑up on action points.​
  • Handle some personal/administrative matters for the CEO (appointments, basic personal administration) to free up his time for strategic work.​

Elvárások

  • Several years of experience as Executive Assistant / Personal Assistant / Office Manager supporting a senior leader or entrepreneur in a fast‑growing company.​
  • Strong organizational and prioritization skills, with the ability to bring structure into a busy, sometimes chaotic environment.​
  • High level of ownership and reliability: you see what needs to be done, follow through, and ensure things are finished on time and to a high standard.​
  • Excellent communication skills in Hungarian and English, both written and spoken.​
  • Confidence to represent the CEO towards staff, partners and external stakeholders while remaining diplomatic and respectful.​
  • Strong basic understanding of administrative and financial processes; good with numbers and details, comfortable working with invoices, spreadsheets and contracts.​
  • Advanced user of common office and communication tools (Google Workspace / MS Office, e‑mail, calendar, spreadsheets).​
  • Discreet, trustworthy, able to handle confidential information and some personal matters with full professionalism.​
  • Flexibility in working hours when needed and occasional availability for travel (mainly to Dubai) 1–2 weeks per year.
