EMEA Office Manager

CloudPay is seeking a reliable and proactive EMEA Facilities Manager to oversee the smooth running of offices in Hungary, Niort (France), and Naples (Italy). This role requires strong organizational, planning, and communication skills, as well as the ability to work independently and collaboratively across teams, including travel to France and Italy offices at least twice a year.

The successful candidate will have a deep knowledge of Health and Safety (H&S) and will work closely with the Facilities, Property, and Compliance Manager to achieve ISO 45001 certification.

Daily Duties and Main Responsibilities will include:

• Oversee all office operations across the three locations: Budapest, France, and Italy
• Order, manage, and track office supplies to ensure smooth day-to-day operations
• Manage and coordinate vendors and ensure that they deliver service as per Service Level Agreement
• Act as the main point of contact for all office visitors
• Organise and support office events, including team-building activities and company-wide events
• Assist with audit checks and the filing and archiving of confidential information
• Build and maintain strong relationships with the Facility Management company, acting as the key contact to report issues and ensure timely resolution
• Take on the role of Lead Fire Marshal, First Aider, and Health and Safety Officer
• Perform routine H&S checks, risk assessments, contractor inductions, and DSE workstation checks for new hires
• Ensure H&S policies and procedures are up to date and adhered to
• Maintain safe working practices that comply with all relevant legislation
• Support any projects across Hungary, France, and Italy
• Support the Director of Property and Facilities, HR, and Finance teams, with any required tasks

Attributes and Experience Required:

• Previous experience in a similar role, demonstrating exceptional organizational skills and the ability to manage multiple tasks simultaneously
• Deep knowledge of Health and Safety requirements, practices, and guidelines
• Ability to prioritize tasks effectively and work with minimal supervision
• Fluent in both Hungarian and English.Excellent communication skills, with the ability to liaise with internal teams and external stakeholders (e.g., contractors, vendors, suppliers)
• Proficient computer skills, including MS Office, Internet tools, and ERP systems (preferred)
• Strong problem-solving abilities, and a keen eye for identifying and addressing straightforward and complex issues
• Exceptional attention to detail
• Ability to provide clear, professional, and tactful feedback
• Confidence in representing the organization to external contacts
• Experience working towards ISO 45001 certification is highly desirable
